General Job Function:

To facilitate effective and efficient management of the Human Resource Office in support of the duties and responsibilities of the Manager/Director

Education/Training/Experience:

  • High School graduate
  • Must have a minimum of 3 years experience in Human Resources
  • Must have knowledge and demonstrate skills in office equipment and computer programs
  • Proficient in Microsoft Word, Excel, Access, PowerPoint, and Outlook.

Knowledge/Skills and Abilities:

  • Acquired competencies relating to effective office practices and procedures
  • File Maintenance and Records Administration

Resources Used in Performing Job Include (but are not limited to):

Standard office equipment and vehicle for district travel. A district car may be used or if the employee uses his/her own vehicle mileage reimbursement is available.

Physical/Cognitive Requirements:

Regularly required to walk, talk and listen. Frequently is required to stand and sit. Required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, and depth perception. Light lifting at times.

Environmental Conditions:

The noise level in the work environment is usually moderate.

Essential Job Functions:

  1. Maintenance of all personnel records for certified and non-certified employees and adhere to strict confidentiality requirements.
  2. Assist the HR Manager/Director in compiling and posting all vacancy announcements
  3. Compile personnel action forms(PAF’s), contracts and START ORDERS.
  4. Obtain, collect, and organize pertinent data as needed for reports and annual budget, and assists HR Manager/Director in completing required personnel reports.
  5. Advise employees of licensure/certification procedures and Highly qualified status
  6. Assesses training and experience of applicants for certified positions and determines eligibility in accordance with New Mexico State requirements.
  7. Assist the HR Manager/Director in initiating and overseeing evaluations for district employees.
  8. Processing New Employees to include background checks, fingerprinting, drug testing, all new hire paperwork, letters of intent, contracts, personnel file, badges.
  9. Handle routine correspondence with applicants and employees as well as requests for information.
    1. Assist the HR Manager/Director with all requests
    2. Writing Letters
  1. Collecting Information that is sent out to all staff
    1. Retrieving all documentation from all staff
    2. Filing all documents into the Personnel Files when retrieval is complete
  2. Maintenance of Synergy/Visions/Access/Timeclock/Online application systems
  3. Maintain day-to-day routine functioning of the Human Resource Office
  4. Ensure absolute confidentiality and security of District personnel files, enforcing limitations and structured utilization of such files, by persons whose access is authorized only by the Superintendent and/or Director
  5. Filing of all documents in a timely manner
  6. On-line Applicants
    1. Print application and corresponding documents
    2. Respond with email of missing information
    3. Check Licensure and print for file
    4. File
    5. Make copies as per requests
  7. Unemployment Claims
  8. Other duties as assigned.

Personal Accountability:

  1. Demonstrates reliability as evidenced by attendance records and punctuality.
  2. Properly notifies supervisor and/or designee of absences or tardiness.
  3. Begins and completes work within the allotted time.
  4. Consistently appears in attire appropriate to the work environment.
  5. Demonstrates skill in the use of equipment including its capabilities, limitations and appropriate/special application,
  6. Protects the District’s resources through appropriate and careful use of supplies and equipment.
  7. Utilizes appropriate body mechanics to aid in the prevention of muscle strain/injury.

EMPLOYMENT: Upon an offer of employment, pass a pre-employment drug test and comply with the Immigration Reform and Control Act of 1968, pass a background check and provide necessary documentation qualifications.
