Position Summary
Windham High School is seeking a highly organized, professional, and student-centered Administrative Assistant to support the Director of School Counseling and the School Counseling Department. This year-round, 260-day position provides primary administrative support to the Director while assisting the entire counseling office. The Administrative Assistant serves as the first point of contact for students, families, staff, and community members, maintaining a welcoming, efficient, and confidential office environment.
The ideal candidate is organized, detail-oriented, able to manage multiple priorities, and committed to exceptional customer service.
Essential Functions
- Provide administrative support to the Director of School Counseling, including calendar management, meeting coordination, budget tracking, purchasing, and departmental operations.
- Serve as the primary receptionist for the School Counseling Office by greeting visitors, answering phones and emails, scheduling appointments, and maintaining office supplies and resources.
- Support all members of the School Counseling Department and collaborate with administrators, teachers, registrars, special education staff, and district personnel.
- Coordinate Career and Technical Education (CTE) programs with Salem High School and Pinkerton Academy, including enrollment documentation, transportation information, required paperwork, and ongoing communication with students, families, and partner schools.
- Coordinate logistics for standardized testing, including scheduling, materials, communications, and testing-day support.
- Assist in the preparation, publication, and distribution of the annual Program of Studies and other major counseling department publications and documents.
Minimum Qualifications
- High school diploma required; associate's degree preferred.
- Previous administrative or office experience is preferred, ideally in an educational setting.
- Experience working with high school-aged students and families preferred.
- Excellent communication, organizational, and customer service skills.
- Ability to prioritize multiple tasks, exercise sound judgment, maintain confidentiality, and work both independently and collaboratively.
- Proficiency with Google Workspace, student information systems, and educational technology, with the ability to learn new software as needed.
Knowledge, Skills & Abilities
- Understanding of the developmental and academic needs of high school students.
- Strong interpersonal, organizational, and problem-solving skills.
- Ability to remain professional and adaptable in a fast-paced environment.
- Attention to detail and accuracy when managing student records, scheduling, testing materials, and confidential information.
- Strong technical and computer skills, including proficiency with student information systems, Google Workspace (Docs, Sheets, Gmail, Calendar, Drive), and other school-based software and technology platforms; ability to learn and effectively use new technologies as needed.
