STANISLAUS COUNTY OFFICE OF EDUCATION
CLASS TITLE: Administrative Assistant
BASIC FUNCTION:
Under the direction of an assigned Manager, perform a variety of administrative support functions in an assigned
departmental office; relieve the supervisor of administrative details; organize and coordinate office activities,
coordinate the flow of communications, and maintain confidentiality of privileged and sensitive information.
REPRESENTATIVE DUTIES:
Serve as assistant to an assigned Manager; perform a variety of responsible administrative tasks; serve as liaison
with other staff and the public.
Organize and coordinate office activities and coordinate the flow of communications; assist and direct callers
and visitors; provide information concerning SCOE policies and procedures or direct to appropriate personnel;
schedule appointments, arrange meetings and make travel arrangements.
Organize and prioritize work; may provide work direction and guidance to other staff as directed.
Attend meetings, take notes, and prepare minutes from meetings for a variety of committees and groups.
Assist with composition, preparation and assembly of materials such as routine correspondence, contracts, and
agenda items; research, collection, and compilation of statistical, financial, or other diverse and specialized
information; review and checking of documents for completeness, accuracy and conformance with applicable
rules/regulations and procedural requirements.
Post information, records, and input data to various platforms.
Prepare requisitions and assist with budget information for the manager as directed.
Have knowledge of and provide information on policies and regulations as necessary.
Train assigned staff.
Prepare periodic reports as required by the office.
Receive, sort, and route mail.
Perform related duties as assigned.
KNOWLEDGE OF:
Operations, procedures, specific rules, and precedents of assigned office.
Current office practices, procedures, and equipment.
Letter and report formatting.
Operation of office equipment and specified software.
Data and financial management systems.
Correct English usage, grammar, spelling, punctuation, and vocabulary. Interpersonal skills including tact,
patience, and courtesy.
ABILITY TO:
Perform responsible administrative work independently and effectively.
Compose correspondence and other narrative material.
Assemble and compile data/information and prepare reports.
Maintain complex files and records.
Understand, retain, and explain a variety of policies, procedures, and information.
Operate a variety of office equipment.
Use currently adopted SCOE software related to this assignment.
Complete mathematical calculations with or without a calculator.
Keyboard, format and produce a variety of documents related to the basic function of the assigned
classification.
Work independently with minimal direction.
EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from High school and two years of increasingly responsible
administrative experience. College-level course work in business office management, or related field desirable.
LICENSES AND OTHER REQUIREMENTS:
Possession of a valid driver's license may be required.
