CLASS TITLE: Receptionist

BASIC FUNCTION:
Under the direction of an assigned supervisor, operate a centralized telephone console; greet and assist visitors
to the office; receive, sort, distribute and process incoming, outgoing and internal mail and correspondence;
perform a variety of clerical support duties.

REPRESENTATIVE DUTIES:
Operate a centralized telephone console, directing calls to appropriate personnel; receive and transmit messages;
provide general information to callers as needed; greet parents, students and other visitors.
Receive, sort, and distribute incoming, outgoing and internal mail and correspondence; receive and distribute
incoming packages; receive and distribute faxes to appropriate personnel.
Perform general clerical duties including ordering supplies and typing a variety of materials including
correspondence, labels, requisitions, memoranda and other items.
Maintain reservations of meeting room and County vehicles as assigned; issue County vehicle keys and
building keys according to established procedures; maintain related records; type reservation schedules;
maintain vehicle insurance forms.
Operate a variety of office equipment including a computer, typewriter, fax machine and copier and other
assigned equipment.
Prepare and maintain records, forms and logs related to assigned activities.
Monitor stock inventory and order office supplies, forms or other materials according to established procedures.
Assist with special projects including mailings, printing projects and other activities as directed.
Perform related duties as assigned.
KNOWLEDGE OF:
Operation of a centralized telephone console.
Telephone techniques and etiquette.
Interpersonal skills using tact, courtesy and diplomacy.
Modern office practices, procedures and equipment.
Correct English usage, grammar, punctuation, spelling and vocabulary.
ABILITY TO:
Answer telephones and greet the public courteously.
Provide information, directions and assistance.
Maintain routine records.

Perform general clerical duties including typing, filing and duplicating.
Obtain a working knowledge of other departments and personnel for routing purposes.
Communicate effectively both orally and in writing.
Operate a variety of office equipment including a computer.
Complete work with many interruptions.
Keyboard, format and produce a variety of documents related to the basic function of the assigned classification
Record data and information.
EDUCATION AND EXPERIENCE:
Qualifications are any combination equivalent to: graduation from high school, passing the Stanislaus County
Office of Education Receptionist Exam and one year of responsible general clerical experience.
ENVIRONMENT:
Office environment.
Constant interruptions.
PHYSICAL DEMANDS:
Hearing and speaking to exchange information in person or on the telephone.
Dexterity of hands and fingers to operate a computer keyboard and other office equipment.
Seeing to read a variety of materials.

CLASS TITLE: Administrative Assistant
BASIC FUNCTION:
Under the direction of an assigned Manager, perform a variety of administrative support functions in
an assigned departmental office; relieve the supervisor of administrative details; organize and
coordinate office activities, coordinate the flow of communications, and maintain confidentiality of
privileged and sensitive information.
REPRESENTATIVE DUTIES:
Serve as assistant to an assigned Manager; perform a variety of responsible administrative tasks; serve as liaison
with other staff and the public.
Organize and coordinate office activities and coordinate the flow of communications; assist and direct callers
and visitors; provide information concerning SCOE policies and procedures or direct to appropriate personnel;
schedule appointments, arrange meetings and make travel arrangements.
Organize and prioritize work; may provide work direction and guidance to other staff as directed.
Attend meetings, take notes, and prepare minutes from meetings for a variety of committees and groups.
Assist with composition, preparation and assembly of materials such as routine correspondence, contracts, and
agenda items; research, collection, and compilation of statistical, financial, or other diverse and specialized
information; review and checking of documents for completeness, accuracy and conformance with applicable
rules/regulations and procedural requirements.
Post information, records, and input data to various platforms.
Prepare requisitions and assist with budget information for the manager as directed.
Have knowledge of and provide information on policies and regulations as necessary.
Train assigned staff.
Prepare periodic reports as required by the office.
Receive, sort, and route mail.
Perform related duties as assigned.

Complete mathematical calculations with or without a calculator.

Work independently with minimal direction.
EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from High school and two years of increasingly responsible
administrative experience. College-level course work in business office management, or related field desirable.
LICENSES AND OTHER REQUIREMENTS:
Possession of a valid driver's license may be required.
